Solution_03 / Business management system development

Web-based business management and records systems

Instead of spreadsheets and email chains, one system tailored to how you work.

At most smaller companies, operations are held together by Excel spreadsheets, email chains and a few programs that don’t talk to each other. That works for a while – then nobody knows which spreadsheet is the current one, or who promised what to the customer. We build a custom, browser-based business management system in which customers, orders, tasks and invoices are in one place – with only what you really need.

01 / Who it’s for

Who do we build it for?

  1. 01

    Small service and project-based businesses

Customers, quotes, projects, tasks, time spent and invoicing in one chain – not in five different places.

  2. 02

    Trading companies and smaller manufacturers

Orders, purchasing, stock, work orders and delivery linked together, with no paper and no manual copying.

  3. 03

Companies where several people work on the same data

Office, warehouse, colleagues in the field – everyone sees the same thing, and everyone sees only what concerns them.

02 / What’s included

The modules the system is built from.

Not every module is needed at once. The first working version includes whatever takes the most load off your shoulders – the rest can be switched on later without a redesign.

  1. 01

    Customer and partner records

Companies, contacts, contracts, history and documents – in one place, searchable.

  2. 02

    Quotes, orders, contracts

Quotes from templates, order and contract tracking, deadline monitoring – and, if needed, approval before sending.

  3. 03

    Stock, purchasing, work orders

Item master data, warehouse stock, purchase requests, production or service work orders, material usage.

  4. 04

    Tasks and processes

Who does what and when: statuses, owners, deadlines, automatic notifications – so that nothing gets stuck in an email.

  5. 05

    Permissions and audit trail

Who can see and edit what by role; every change is traceable – who changed what, and when.

  6. 06

    Reports

Revenue, outstanding payments, project status, stock – up to date on a single screen, with Excel export and scheduled report emails too.

03 / How we build it

Four phases, with clear outcomes.

Every phase ends with something tangible and a decision – you can see where the project stands and what comes next throughout.

  1. 01

    Process assessment

Conversations with the people who actually do the work; mapping the current spreadsheets and programs; what hurts the most.

  2. 02

    System design

Data, flow charts, roles, screen sketches – approved in writing before any code is written.

  3. 03

    Step-by-step development

Module by module, in 2–3 week cycles; at the end of each cycle there is a testable result and your feedback.

  4. 04

    Rollout

Migration of data from the spreadsheets, parallel running, training, then operations and further development as needed.

04 / Typical use cases

What we build it for.

  1. 01

    Replacing Excel spreadsheets

Instead of a dozen spreadsheets and approvals agreed by email, one system where there is always a single current version and you can see who changed what.

  2. 02

    Customer–quote–project–invoice chain

From an accepted quote, a project and an invoice in one click; the time spent automatically goes into the invoicing basis.

  3. 03

    Work orders and stock

From an order to a work order, material reservation, stock movement and delivery – paperless.

  4. 04

Mobile interface for colleagues in the field

Work orders, photos, signatures and status reports from a phone – even when there is no signal.

05 / Frequently asked questions

What most people ask.

If an off-the-shelf program covers how you work, we recommend it – it is cheaper and faster. A custom system is worth building when you are already working around the off-the-shelf program with spreadsheets, when the licence fee grows with headcount, or when you would have to bend your own processes to fit what it allows.

We plan module by module: a first usable system (for example customer–quote–project) can typically go live in 2–3 months, and later it only grows with what is really needed. We give the exact quote after the assessment.

Yes – invoicing software, bank transactions and an export for your accountant are the most common connections.

You do. The system goes on your own server or on web hosting operated by us, with documented code and exportable data – you are not tied to us.
